How to Avoid EFTPOS Terminal Lock-In in Australia

How to avoid EFTPOS terminal lock-in as your business grows

The EFTPOS setup that suited your business when you opened may no longer offer the best value as you grow. The issue is often the pricing structure, contract terms or POS connection behind the terminal.

To avoid EFTPOS terminal lock-in, look beyond the advertised transaction rate and monthly rental. Understand your total costs, which providers work with your POS and what is involved if you decide to change.

At PaiCompare, we help businesses review their current arrangements, compare suitable providers and manage the process from application through to coordinating installation and changeover.

What EFTPOS terminal lock-in looks like

Terminal lock-in happens when changing payment providers becomes difficult, costly or disruptive. It can come from a fixed-term agreement, equipment conditions or a POS system that limits which payment providers you can use.

These restrictions are not always obvious at sign-up. A low advertised rate or free terminal can offer good value, but you still need to understand the conditions.

Before committing, ask:

  • Is there a fixed contract term or notice period?
  • Are there minimum monthly fees or turnover requirements?
  • Does the agreement renew automatically?
  • Are there early termination or equipment return charges?
  • Can you keep your current POS if you change payment providers?
  • Does the quoted rate cover the cards your customers actually use?

A long-term provider relationship can work well when the pricing, service and technology continue to suit your business. The concern is when unclear conditions prevent you from considering a better option.

Start with your agreement

Before accepting a new offer, review your current merchant agreement and any separate terminal rental or POS agreements. Ask your provider for copies if you cannot find them.

Check the following:

  • Contract length, renewal date and notice requirements
  • Early termination, equipment return and administration fees
  • Terminal rental and any separate integration, connectivity or support charges
  • Minimum monthly fees or transaction commitments
  • Pricing for debit, credit, commercial and international cards
  • Access to transaction reports and settlement records after cancellation

A month-to-month terminal arrangement does not necessarily mean your entire setup has the same flexibility. Your merchant facility, POS subscription and integration service may each have separate conditions.

Also confirm what happens to the equipment when you leave. A rented terminal will generally need to be returned according to the agreement. A terminal you own may not work with another payment provider.

Get these details in writing so you can assess the actual cost of changing.

Compare your total EFTPOS costs

Terminal rental is only one part of your payment costs. Depending on your arrangement, you may also pay transaction fees, card scheme fees, interchange, integration fees, gateway charges or minimum monthly service fees.

Some plans bundle costs into one rate. Others show them separately. To make a fair comparison, you need to understand what each quote includes.

A flat or blended rate can offer simplicity and predictable pricing. Cost Plus Plus, also called Interchange++, separates the provider’s margin from the underlying interchange and card scheme costs, giving you greater visibility into how your fees are calculated.

Neither structure is automatically the cheapest. The right fit depends on your turnover, average transaction value, card mix and operational needs.

Where possible, use three months of statements to assess:

  • Total card turnover
  • Total payment fees, including rental and other recurring charges
  • Average transaction value
  • The types of cards your customers use
  • Any promotional pricing that is due to expire

Your effective payment cost is your total payment fees divided by your total card turnover, expressed as a percentage. It provides a useful starting point when comparing providers.

A lower advertised rate does not necessarily mean a lower total bill. Equally, a free terminal can be valuable when the overall pricing and conditions suit your business.

Check whether your POS limits your options

Your POS and EFTPOS setup should support the way you trade. Before switching, confirm how they connect and which alternative providers are compatible.

With an integrated setup, your POS sends the sale amount directly to the terminal. This can reduce manual entry, save staff time and simplify reconciliation. However, some POS systems support only selected payment providers or have additional integration charges.

Confirm compatibility with your exact POS product and software version. Supporting a POS brand does not always mean every version, feature or terminal model is supported.

Ask about the functions your business relies on, including:

  • Refunds and split payments
  • Tips and pre-authorisations
  • End-of-day reconciliation
  • Reporting across multiple locations
  • Accounting or loyalty connections
  • Internet and mobile connectivity

If your POS restricts your payment options, a separate standalone EFTPOS terminal may be worth considering. This can allow you to retain your existing POS while choosing a different payment provider.

Staff will need to enter payment amounts manually, so weigh any potential savings against the effect on service and reconciliation.

Depending on your needs, a different POS or a combined POS and payment solution may also be suitable. PaiCompare can help compare these options, including free terminal and free POS offers where available, with the relevant conditions explained upfront.

Negotiate for flexibility and clear pricing

When reviewing an offer, consider both the price and your ability to change later.

Ask for a written breakdown of the fees and confirm:

  • Which card types the quoted pricing covers
  • Whether the rate includes GST
  • Whether rental, integration and connectivity are included
  • What happens when an introductory offer ends
  • Whether minimum fees apply during quieter months
  • What notice and equipment return requirements apply
  • Whether there are costs associated with leaving

No-contract options can provide useful flexibility, but you should still review cancellation conditions and any separate software agreements.

Free hardware can also reduce upfront costs. Check whether the offer depends on minimum turnover, a particular pricing plan or an ongoing commitment.

The aim is to find an arrangement that delivers value across pricing, equipment, support and flexibility.

Manage the switch around your business

Concern about disruption can keep businesses on an unsuitable arrangement longer than necessary. A planned changeover helps reduce that risk.

Confirm compatibility, arrange installation around trading hours where possible and keep the existing service available until the replacement setup has been tested and is working.

Before relying on the new terminal during a busy period, check:

  • A small sale and refund
  • Receipt printing
  • POS integration, where applicable
  • Network connectivity
  • Reporting and reconciliation
  • Staff access to support

Confirm settlement timing as well. Funding schedules can vary between providers, including over weekends and public holidays. If same-day funding matters to your cash flow, check eligibility and any applicable conditions before signing.

PaiCompare can manage the process for you, helping with provider selection, applications, required documents and coordinating the changeover. You have a dedicated point of contact to help keep things moving and minimise disruption to trade.

Review your setup as your business changes

Your payment needs can change as turnover grows, you open another location or introduce online ordering, deposits or new services.

Review your EFTPOS costs at least annually and before any agreement renews. A small difference in fees can become significant as your card turnover increases.

You should be able to understand your costs, keep the tools that work and consider alternatives when your current arrangement no longer suits.
